Team Official Registration

Team Official registration is completed either at time of team registration or after. 
The team official registration system is similar to that of the player registration, profiles are linked to the individuals' contact email.  

To ensure that important information leading up to the start of the 2025-2026 season is communicated to the appropriate individuals, at least one (1) team official must be registered onto their team roster prior to Player Registration opening in August.  

A Team Official is defined as an individual that fulfills the role of: 
  • Coach
  • Assistant Coach
  • Manager
  • Trainer/Gender Rep
Club Registrars, Technical Directors, and/or VP Senior Directors are not considered team officials and will not be considered to be added to multiple team rosters. If access to team page information is required for review of player registration to teams or for communication purposes, those individuals may do one or both of the following:  
  • Request club coordinator access for the purpose of reviewing player registration on multiple club teams.  Please contact LIWSA Registrar at registrar@liwsa.com.
    -and/or-
  • Request to be added to communication mailing list by emailing First/Last Name, Club Name, Role at Club - to communications@liwsa.com. 

New to the upcoming 2025-2026 season, Team Officials will only be able to register onto their teams between August 1-30.  Each Team Official registration will be reviewed to confirm that all required information is submitted, this includes:
  • Valid CRC results
  • Code of Conduct reviewed/signed
  • Upload of headshot for LIWSA ID card

Team Officials must meet all requirements by September 1st.
Any missing requirements will result in your profile being removed from team roster without notice.


After September 1st and for the remainder of the season, any new team official registration or team official update must meet all requirements prior to being approved onto the team roster.  Any missing requirements will render the team official ineligible to be listed on team roster. 
  
Are you a club member that assists with registration?  Contact the LIWSA Registrar to be set up with Club Coordinator access in order to assist with Team Registration (not Player Registration).  

Frequently Asked Questions: 
Why won't my team official show up on my game sheet roster and/or not generate a LIWSA ID card? 
Your team official has information missing or expired within their profile.  Please check a proper photo is uploaded; check CRC has not expired; check code of conduct has been signed.  

What if my team does not register or permit youth aged players, can there be a coaching requirement exemption?
Teams not registering or permitting youth aged players must write into the LIWSA Registrar indicating such, and only then will the Coach profile be updated with a notation exemption the requirement.  Please note that this will indicate to the administrative staff that no youth aged player registration or youth to adult permit will be allowed/approved.  
** Masters teams (30A, 30B, 35s) are automatically exempt from the BCSA Coaching Requirements as their division is age restricted not allowing youth aged players. 

Player Registration

Player registration opens annually on August 1 for the following season.  
The player registration system is intended for players to complete individually. It is advised that players only register in the LIWSA system once they confirmed registration with their own club.  

Every player will require to upload a new and recent photo for their LIWSA digital ID card.  Any photo not meeting the following criteria will have their photo removed when noticed - and will not be notified - rendering the player ineligible to play until proper photo has been uploaded.  Photo requirements:

  • A recent photo
  • No hats, no sunglasses, no other persons/pets/babies
  • No action shot
  • No photo of a photo - or cropped from a photo
  • A headshot above the shoulders
  • Front facing
  • No photo from a distance



RETURNING PLAYERS
Players having played in the LIWSA since 2021, must make sure they are registering with their existing profile.  The system will not allow a duplicate profile. Each player profile has a unique log in from the previous season. 

You must log in using the email address you had on file the previous season.  If you forgot your login/password, please use the 'reset password' feature.  Remember to have on hand the specific registration key code supplied by your Coach or Manager - otherwise you will not be able to register onto your team roster.  

IMPORTANT: If your last name has changed, do not create a new profile.  Please log in and register with the profile that has your previous last name, and contact the LIWSA Registrar (registrar@liwsa.com) to request updating your last name in your profile. 

Please follow the proper steps in registration, if a secondary account/profile is noticed, this may cause the player to be ineligible to play until resolved. 



NEW PLAYERS
(Players aged 18+; for youth aged players please see section below)
Players who have not played in the LIWSA since 2021, must create a new profile using their preferred contact email. 

It is important that the individual player initiate and complete the player registration as the login to their profile will be linked to their contact email.  There is also a waiver that must be signed by the player.  

IMPORTANT: If you have any issues with the registration please contact the LIWSA Registrar (registrar@liwsa.com) sooner than later.  August-October tends to be a busy time for the Registrar so please follow up with them if you have not heard back within a minimum of 3 days.  

Please follow the proper steps in registration, if anything is missing and a player or manager does not communicate with either Registrar or League Administrator for assistance, this may cause the player to be ineligible to play until resolved. The beginning of the season is quite busy administratively, please ensure ample time is given for follow up.  



NEW YOUTH AGED PLAYERS REGISTERING ON ADULT TEAM
(Players that are 17 years of age by December 31, 2024)

Youth aged player registration onto a LIWSA adult team roster must be completed by parent/guardian, as there is a parental liability section requiring completion. 

If you have any questions regarding youth aged player registration please contact the LIWSA Registrar at registrar@liwsa.com.

Please ensure ample time is given for completion of registration and any follow up that may be required. 

Please follow the proper steps in registration, if anything is missing and a player or manager does not communicate with either Registrar or League Administrator for assistance, this may cause the player to be ineligible to play until resolved. The beginning of the season is quite busy administratively, please ensure ample time is given for follow up.

Team registration for RETURNING teams is open annually June 1-30 for the following season.  

RETURNING TEAMS
At time of registration, teams must submit the following: 
  • Home Game Schedule:  Day, Time, Field Location
  • Unique Team Name
  • Jersey/Kit Colour(s)
  • *Either 1 Team Official or Club Contact
    (this will require updating/confirmation once Player Registration is open in August)

NEW TEAMS
At the time of registration, new teams must submit the following:  
  • Home Game Schedule:  Day, Time, Field Location
  • Unique Team Name
  • Jersey/Kit Colour(s)
  • *Either 1 Team Official or Club Contact
    (this will require updating/confirmation once Player Registration is open in August)
New team registrations will remain 'pending' until returning team registrations have been submitted and confirmed.  Existing team berth/allocations from previous season must be confirmed prior to new teams being approved/finalized.
